Privacy policy

PermitIQ is a permit tracking and plan review tool run by Park West Design LLC (“we”). This policy explains what information PermitIQ collects, how it is used, and the choices you have. Questions: ksingh@signaturegci.com.
Information we collect
- Account information. Your email address and name, used to sign you in and show who did what.
- Project information. What you and your team enter or upload: permit projects, plan sets, documents, markups, corrections, schedules, contacts and notes.
- Gmail information, only if you click Connect Gmail. See the next section.
- Technical information. Sign-in cookies that keep you signed in, a short-lived cookie used during Google sign-in, and your light/dark theme choice stored in your browser. We don’t use advertising or tracking cookies.
Gmail and Google user data
When you connect Gmail, PermitIQ asks Google for read-only access to your mailbox (gmail.readonly) and your Google account email address. PermitIQ uses this access only to log permit-related email into your projects, so your team can see when a city reviewer or project consultant has replied.
- What is read. Only messages sent to or from your team’s city contacts and project contacts, starting with the last 14 days when you connect, and new messages as they arrive.
- What is stored. For those messages: sender, recipients, subject, date, thread references, and the message text without the quoted earlier conversation. Attachments are not downloaded.
- What is never done. PermitIQ cannot send, delete, label or change your email. Gmail data is not sold, not used for advertising, not shared with anyone outside your PermitIQ team (clients never see it), and never used to train AI models.
- Ask PermitIQ. When a team member asks the Ask PermitIQ assistant about a project’s emails, the relevant logged emails (subject, date, who, and a short excerpt) are processed by our AI service provider only to answer that question.
- Access tokens. The keys Google issues are stored encrypted and are only readable by the PermitIQ server.
- Disconnecting. Click Disconnect on the Email page. PermitIQ stops reading your mail, returns the access to Google and deletes the stored keys. You can also remove access any time at myaccount.google.com/permissions. Emails already filed to a project stay in that project’s log unless you ask us to delete them.
PermitIQ’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How we use information
- To run PermitIQ: track permits, show plan sets, log correspondence, and send reminders.
- To review plan sets and documents you upload. PermitIQ sends those files to our AI service provider to read title blocks, markups and checklist items.
- To answer questions in Ask PermitIQ. The question and the project information needed to answer it (limited to what the person asking can already see in PermitIQ) are processed by our AI service provider. Chats are saved so each person can return to them, and are private to that person.
- To send the daily summary email to people who have it turned on. Each person can turn it off in Settings.
- To keep the service secure and fix problems.
Who can see your information
Your information is visible to the members of your PermitIQ team, according to their role. Clients only see permit status for their projects. We use these service providers to run PermitIQ, and they may process data on our behalf only for that purpose:
- Supabase (database, file storage and sign-in)
- Vercel (website hosting)
- An AI service provider (plan set and document review, and Ask PermitIQ answers), which may not use your data to train its models
- Resend (summary and sign-in emails)
- Google (Gmail connection)
We don’t sell personal information. We may disclose information if required by law.
Keeping and deleting information
We keep project information while your team uses PermitIQ. To delete your account, your Gmail-sourced emails, or your team’s data, email ksingh@signaturegci.com. We’ll confirm and complete the request within 30 days.
Security
Data is sent over encrypted connections. Access is limited by role inside the database, and Google access keys are encrypted at rest. No system is perfectly secure, but we work to protect your information.
Children
PermitIQ is a business tool and is not meant for anyone under 16.
Changes
If we change this policy, we’ll update the date above, and for significant changes we’ll let signed-in users know.
